Team members

Add the people who deliver your services, and assign them to bookings and the calendar.

Running solo? You can skip this section entirely. Barclo works perfectly for one-person businesses, just assign bookings to yourself. Come back here if you ever bring on staff or contractors.

The Team section is for businesses with more than one person delivering services, a dog-walking business with a couple of walkers, a grooming salon with a groomer and an assistant, or a boarding kennel with multiple carers. Once you've added your team, you can assign people to services and bookings, and see their schedules on the calendar.

To manage your team: click Team in the left-hand menu.

Who you'll see on the team page

The team list shows everyone in your business, including yourself (as the owner). A typical team might look like:

Adding a team member

Click Add Team Member. The form has two steps:

  1. Details and role. First name, last name, email address, phone number, role, pay type, pay rate, and the days of the week they're available to work.
  2. Services. Tick which of your existing services this person can deliver. This feeds into the booking wizard and the calendar.

Personal information, the email address is how they'll log in to Barclo (if you give them access).

Role, the role determines what they can see and do in Barclo:

  • Owner, full access to everything, including billing and settings. Usually just you.
  • Manager, can manage bookings, clients, invoices, and services, but typically can't change billing or subscription settings.
  • Walker / Carer, limited access, focused on their own schedule and the bookings assigned to them. Perfect for a contracted dog walker who just needs to see their daily run.

Available days, which days of the week this person works. This feeds into the calendar's staff view and helps you assign bookings to the right person on the right day.

Pay information, optionally record their pay type (hourly, daily, or per booking) and pay rate. This is for your own records and helps if you're tracking staff costs.

Adding a team member doesn't email them. A newly added person shows as Not invited until you send them an invite separately from the team page. They won't be able to log in until you do.

Assigning team members to services

When you create or edit a service (see Services), you can specify which team members deliver it. For example, if Tess is your only qualified groomer, you'd assign her to the "Solo Grooming" service, she'll then be the default staff member on grooming bookings.

Assigning team members to bookings

When creating a booking (see Bookings), the booking wizard includes a staff assignment step. You can pick which team member is responsible for that specific booking. This shows up on the calendar in the day view, where each team member gets their own column so you can see who's doing what at a glance.

Starting to grow? Even if it's just you and one part-time helper, adding them as a team member and assigning them to bookings is worth it, it keeps the calendar clear and means you've got an audit trail of who did what, which can be useful for insurance or payroll.
